This form can be accessed by selecting Settings -> System settings -> e-Mail templates in the left menu of the administration section.

The e-Mail message templates form is used to manage mail message templates. Whenever a message is to be sent, the system searches for the appropriate template that can be used to create an e-mail message. If a template is found, a message is sent using this template.

The system distinguishes e-mail message templates by the message type and the site with which a template can be used.

Each message template may contain two types of information: constant data and variable information (parameters).

The constant data remain static in all messages and do not change. In other words, all recipients will receive this information exactly as you provide it in the message template. Example of constant data is signature, e.g. "Best regards" etc.

The parameters can vary from message to message depending on conditions. This means that a recipient will receive information that is intended for him or her, exactly. Example of a variable parameter is the recipient's e-mail address. The parameters which can be used in a message are listed in the template editing form in the Available Fields section.

Add template Opens a form in which you can create a new e-mail template.
Excel Exports data from the table to the MS Excel format.

List of message template

Field Description
Checkbox column Used to select e-mail templates to which the desired actions are to be applied. Available rules and actions can be found in the action bar below the table.
Action menu
Clicking the action button of any e-mail template opens a menu allowing to:
  • Edit - opens a form in which you can edit the e-mail template;
  • Add copy - duplicates the selected e-mail template;
  • Delete - deletes the e-mail template.
ID The system template ID.
Modified The date and time the template was last modified.
Active Indicates whether the template is active or not. Inactive templates are not used for generating a-mail messages.
Site The site for whose messages the given template can be used.
Event type The name of the event type which, when occurred, causes a message to be generated using the given e-mail template.
Subject The e-mail message subject as will be seen in the Subject e-mail message field.
