Workflow module

The Workflow module is found to be one of the most frequent applications utilized in public offices, large corporations, and by online media to arrange for a single chain of a document state flow. From the document creation and until it is published, the whole process can be supervised by members in charge, all while logging the revision history and keeping intermediate versions of documents.

The module features enable you to:

  • create an unlimited number of steps (states) that a document must pass before it is published;
  • use the workflow concept with static documents (static pages, menu, navigation chain etc.), and information blocks (news, articles, etc.);
  • keep individual copies of images in edited pages for each step of the workflow;
  • assign permissions to user groups to permit to move documents to a given state, or permit to edit and save documents in a given state;
  • create different workflow routes for different user groups;
  • define a group of workflow administrators;
  • notify users of the document status change;
  • lock documents during editing to prevent simultaneous access to the same document by more than one person;
  • preview documents before publishing;
  • log operations performed in the Site Explorer and Information blocks modules (even if the workflow functions are not used);
  • keep a document revision history for each step of the workflow - from creation to publication;
  • keep a copy of the document for each step;
  • use extended document search tools: find information by history, states, responsible persons, date and other parameters;
  • use visual HTML editor for editing documents.

The Workflow module is designed for staged processing of static pages and dynamic components of the site. Permissions to access information can be distributed according to the employees' functions. Users not having sufficient permissions will not be able to publish new or modified documents in the public section. Such permissions can be granted by a user who is allowed to do this (e.g. administrator or editor.

Tips and Tricks

By using the Workflow and the Information Blocks modules together, you can receive news, press releases, opinions etc. from new or registered site visitors. To achieve this, the Anonymous user group can be permitted to edit documents in the Draft state and then move them to the Ready to Publish state. The site editor will be notified of a new document via the e-mail. After the editor reviews the suggested document, it can be published (or rejected by moving it to the Draft state).
